Operations Manager

Tennessee Higher Education Initiative (THEI) seeks a full-time Operations Manager. The position will be located at the THEI office in Nashville.  Under the direction of the THEI Executive Director, the Operations Manager is responsible for the management and seamless running of both long-term and day-to-day operations for THEI. As a key member of the core staff, the Operations Manager will coordinate internal organizational systems to further promote the THEI mission and will play a critical role in managing the day-to-day effectiveness of THEI internal systems, finance, and human resources functions. S/he will play a collaborative role in developing and implementing systems that increase the effectiveness and efficiency of our work and supporting our ability to grow and expand impact.


The ideal candidate can start before June 1, 2019. Priority will be given to applicants who demonstrate a strong commitment to providing educational opportunities to at-risk populations and understand the mission of THEI to be located within a larger social-justice movement. Further, we seek applicants who have experience working in a non-profit and/or working in a prison environment; experience building infrastructure for a fast-growing organization; excellent organizational and time management skills; and a strong commitment to breaking cycles of poverty and incarceration.  Familiarity with Tennessee HR policies and practices are a benefit. We encourage folks who have been impacted by the criminal-justice system to consider applying.


The position is a full-time exempt position. The starting salary is $40,000 per year, plus full medical/dental insurance, a monthly wellness stipend, and generous paid leave and holidays. The review of applications will begin immediately.

Required Qualifications:

  • Bachelor’s degree with 3-5 years work experience

  • Proficiency in Microsoft Office (especially Word and Excel), and QuickBooks.

  • Fluency in social-media platforms such as Facebook, Instagram, Twitter.

  • Comfort with Salesforce and Google Drive.

  • Outstanding organization and details orientation.

  • Exceptional administrative, as well as superb written and verbal communication skills.

  • Experience with bookkeeping, event planning and office management.

  • Valid driver’s license and the ability to travel to program sites for special events.

  • Timeliness around email correspondence.

  • Investment in relationship-building and passion for creating partnerships.

  • Energy for creative problem solving.

  • Commitment to self-care.

 

 

Key Responsibilities:

 

Administrative and Infrastructure

  • Support overall planning, scheduling and resource management for the organization

  • Coordinate planning and roll out of special events (fundraisers, retreats, etc.)

  • Organize creation and distribution of promotional and marketing materials

  • Manage the schedules of volunteers and interns

  • Provide office support including inventory and ordering for office supplies and program supplies, as well as basic technical support for printers, computers, and other office equipment

  • Maintain internal communication systems and resources

  • Respond to general inquiries and requests via phone, email and in person

  • Manage candidate and application communications, including responding to inquiries and scheduling interviews

  • Schedule and provide support for board meetings

  • Provide administrative support to Executive Director and other leadership team members as appropriate, including scheduling, travel arrangements, etc.

  • Maintain and train others on effective use of platforms and systems, including Salesforce, Google Drive and Wix

 

Finance/HR/Compliance

  • Manage day-to-day financial operations including processing deposits, reimbursements, general bookkeeping, contract payments and invoicing

  • Support HR activities and file maintenance

  • Research expansion of benefits packages

  • Maintain impeccable files following THEI procedures

  • Support annual audit through data gathering

  • Maintain filings to ensure compliance with federal, state and grant requirements
